We are looking for a Management Assistant/Office Manager

 

To strengthen our team, we are looking for a Management Assistant/Office Manager to support the organisation and the Managing Director in particular to empower our international workforce. We are looking for a structured organiser, with a can-do mentality and strong diplomacy skills. Your main responsibility is to manage the Managing Director’s agenda and email, providing proactive support and maintain a functional office environment.

 

Responsibilities

1. Support the Managing Director
• Serve as liaison between the Managing Director (MD) and partners, clients, institutions & other stakeholders, providing excellent customer service.
• Responsible for meticulous calendar management.
• Manage internal communication and prioritisation.
• Write and edit internal and external communications.
• Prepare meetings, create agendas, provide reminders and track follow-up items.
• Conduct research and draft memos for the MD.
• Manage the MD’s LinkedIn account.
• Draft correspondence and plan events and meetings.

2. Management of meetings and conferences
• Plan and coordinate meetings, write minutes and follow-up on action points.
• Prepare supporting documents and presentation materials for meetings and conferences.
• Manage communications to board members.
• Provide support to staff attending conferences.

3. Office Management and Organisational Support
• Responsible for the overall office environment.
• Coordinate facility management parties.
• Manage the info@aquaforall.org email account and handle all Aqua for All accounts.
• Organise internal Aqua for All events.

Job requirements

• Minimum of 2 years of relevant experience (e.g., administrative or HR support role).
• Relevant Bachelor’s degree or vocational education (MBO).
• Residency in the Netherlands.
• Strong ability to prioritise tasks and execute multiple projects simultaneously.
• Able to work independently and make decisions proactively.
• Proficiency in using Microsoft Office tools.
• Diplomatic approach while managing relationships.
• Excellent written and verbal communication skills in English. Knowledge of the Dutch
language is a strong advantage.
